Minutes - 1/26/11

I met with Matt L. instead; Pat was in a meeting.

Budget Shortfall: I told Matt that we budgeted for a number of racers that is about half the number we've got this year.
His response: We can tap into the Club's reserve account in "emergencies" situations such as ours, that is, having to pay additional entry fees for the influx of racers we have this year. In order to access these funds we must:
1) Rewrite our '10-'11 budget to account for what we're actually planning to spend on races this year.
2) Bring the revised budget and a Written Request to Pat K. The written request should hit these points:
a) state the $ amount (and break it down) that we'd like to withdraw from our reserve account
b) explain how this unplanned expenditure will benefit the club

Paying on/for Trips:
Reimbursements work always - so make sure to get receipts!
OR we can pay for hotels, for sure, in advance with the Department's credit card.

    We need to have a meeting with the officers (and Matt too since he's been so active with getting a TON of information) and re-write our budget.

  2. I think first we need to do some extensive planning of hotels, cars, gas, etc. I'll start looking into hotels and get a couple options for each race. Ryan, do you want to work on formatting the cars and figuring out who is willing/wants to drive. Also, you can approximate gas.
