Mileage Counter Stuff

So the Counter is working in full swing now, but I'm considering some changes to its behavior. Currently you can attach mileage to indoor workouts if you keep track of it- I know mileage on rollers can be pretty close to what you would see outdoors. Matt suggested the possibility of assigning a low average speed to indoor workouts without distance and automatically calculating distance (~15mph or so). If you like the idea, let me know and I'll get it going.

We also want to set a goal for the year- How does the circumference of the earth sound? I think 20-something people can manage it in a whole year. What about a goal for time?

Any other ideas are welcome.

Minutes - 1/26/11

I met with Matt L. instead; Pat was in a meeting.

Budget Shortfall: I told Matt that we budgeted for a number of racers that is about half the number we've got this year.
His response: We can tap into the Club's reserve account in "emergencies" situations such as ours, that is, having to pay additional entry fees for the influx of racers we have this year. In order to access these funds we must:
1) Rewrite our '10-'11 budget to account for what we're actually planning to spend on races this year.
2) Bring the revised budget and a Written Request to Pat K. The written request should hit these points:
a) state the $ amount (and break it down) that we'd like to withdraw from our reserve account
b) explain how this unplanned expenditure will benefit the club

Paying on/for Trips:
Reimbursements work always - so make sure to get receipts!
OR we can pay for hotels, for sure, in advance with the Department's credit card.

Submit Letters of Intent

Reminder: Letters of Intent to run for next year's executive board are due to me (paw26@case.edu) by 11:59pm on Monday, January 24th. This is Step 1 to officially run for any of the six positions: President, VP, Secretary, Treasurer, Safety Officer, and Webmaster. Step 2 is to pay Spring dues to Erika by the same date, the 24th.

Starting on Tuesday, you'll be able to read all these letters online.

I thought that some of the newer members or those who haven't been involved in cycling for a while might appreciate seeing this list of FAQs that some of the ECCC guys put together for USAC. CollegiateLink

I was perusing the case cycling websites and found that we have nothing on CollegiateLink which is supposed to be the one-stop-shop for Case's clubs. I feel like we should fill in the blanks about the club and use it to reference a different site if someone doesn't want to put a ton of effort into the page. I feel like it would be the best way to reach out to new interested club members as that is where I have been directed when looking for new clubs.

Driving Case Vehicles

Interesting fact found on the Case sports club manual: Driver's of case vehicles must be 21 in addition to taking the Driver's Awareness course.

I also found this concerning private vehicles:

Private Vehicles

When personal vehicles are used for sport club trips, owners may be reimbursed up to a maximum of .28 cents a mile. Each individual sport club has the responsibility of determining what its mileage reimbursement rate shall be.

It is the responsibility of club officers and advisors to ensure that the owner of any vehicle used for club purposes has adequate automobile insurance coverage, including third-party liability. Case Western Reserve University assumes no responsibility for use of private vehicles. The owner of the vehicle assumes total liability. A current Personal Vehicle/ Driver Form must be on file with the Intramural Office prior to vehicle use ( See Forms ) and waiver signed by each passenger.

Spinning

Hey everyone,

I just wanted to remind you to sign up to come to spinning on the google doc. I believe Matt is the person to contact if you don't have access to it. I really need you to put your name on the list- this is how I keep track of attendance (particularly on days when I'm not there). It is also how we make sure that no one comes to Veale only to find out that there aren't any more bikes. At last count we had 12 functioning bikes (we're down 3) so this is even more important as every bike was in use tonight. Thanks so much!
